Privacy notice
How Charlie Smith High School uses information collected through this website.
Who is responsible Charlie Smith High School is responsible for deciding how information collected through this website is used (the data controller). Contact the principal through the school office; contact details are on our Contact page about privacy, access or photo consent. Patoo operates the website and school-record system for the school, as its processor.
Information we collect and why The contact form collects your name, contact details and message so the school can answer your enquiry. An application collects the child's identity, age, previous schooling, parent or guardian contact details and the information and documents you choose to submit, so the school can consider a place and arrange support. Do not put medical, counselling or custody details in a public website message: ask the office for a secure way to provide them.
The school uses information needed for admissions, education and its legal and Ministry reporting duties under Jamaica's Education Act and applicable rules. Optional publicity is different: it depends on permission, not on agreeing to a school place. Health, family and safeguarding information needs the additional protection and lawful conditions in section 24 of the Data Protection Act, 2020. The office can explain which information is required, the applicable basis and the consequences of not providing it before you submit it.
Who may receive it Authorised school staff use information for their work. Patoo and approved infrastructure and email suppliers process it for the school. The school may disclose the necessary information to the Ministry of Education, a receiving school or child-protection authorities where lawful; it does not sell school records or use them for advertising. Ask the office for the current supplier list, hosting and backup countries, and the safeguards for any transfer outside Jamaica. This notice does not itself authorise an overseas transfer.
How long information is kept The school's proposed review limits are two years after an enquiry is closed and one year after an unsuccessful application is finally declined. An accepted application forms part of the pupil's school record. Educational, financial and safeguarding records have separate retention requirements and are not automatically erased on request. Ask the office for its approved category-by-category schedule and any legal hold affecting your information. Periods are reviewed against purpose and Jamaican law, not a blanket promise that all records disappear after a fixed number of years.
Photographs and consent Optional publication of an identifiable child's photograph or name requires specific permission from a person legally entitled to give it, taking account of the child's own capacity and views. Refusing publicity does not affect admission or teaching. Ask the office to withdraw permission or remove a photograph; the school must check its website, copies and other publication channels. A group photograph is not automatically anonymous. Copies already saved by other people may not be recoverable.
Cookies and visitors Signing in uses cookies needed to keep the session working. The starter website does not add advertising trackers. External maps, video or links may be operated by other organisations; ask the school about any optional services it adds. Do not assume a third-party site's privacy arrangements are the same as the school's.
Your rights and how to ask You may ask the school what information it holds, for a readable electronic copy, for corrections, or for an electronic copy to be sent to another controller where applicable. You may withdraw optional consent and give a notice objecting to or asking the school to stop particular processing. Erasure is not an unconditional right to delete educational or safeguarding evidence. The school will check identity and authority to act for a child, review other people's privacy, and explain any lawful withholding or retention.
Access and rectification normally require a response within 30 days. A notice to stop processing requires a reply within 21 days. An access extension needs a permitted ground and timely written explanation. Electronic copies are free. Contact the office; you do not need to use legal words or buy a form. If you disagree with the response, contact the Office of the Information Commissioner, Jamaica, through https://oic.gov.jm.
